Overview
Performs a variety of complex administrative functions for all levels of management including external business partners. Manages schedule(s), coordinates travel arrangements and processes business expenses. Coordinates meetings and events, department financial operations, personnel operations, and facility operations. Manages procurement of goods and services including computer equipment, office supplies, reference materials, and vendor relationships. Provides general office support. Serves as the department/group contact. Completes special projects as assigned.
Key projects:
Planning and coordination of domestic and international travel itineraries
→ Management of two GM calendars with attention to accuracy, timeliness, conflict resolution and alignment to the leader’s priorities and commitments
→ Timely and accurate reconciliation of expenses within the 30 day policy
→ Timely and accurate approval of team expenses within 24 hours
→ Coordination and logistical support for onsite and offsite meetings/events including All Hands, Morale Events, Team Training and Leadership Offsites
→ Management over team onboarding/offboarding process, discretionary budget tracking, organization employee data maintenance and distribution and security group ownership
→ Team support including space management, office moves, new hire set up and onboarding and procurement of equipment and supplies
→ Proven professional approach to dealing with highly sensitive and confidential information
→ Ensure compliance with administrative operations policies and procedures
→ Onsite support for CSCP Austin site (3 days a week + additional days when required by team)
→ Other administrative tasks as required
→ Attend leaders staff meetings , providing information and pass downs to related to admin managed areas
→ Track and manage discretionary budget, ensuring team stays within allocation
→ Help with deck preparation/Provide needed info for all hands meetings
→ Update and manage DL’s by Wednesday every week
→ Morale event planning, for three areas
o CSCP wide Austin site
o Leader/team
→ Ad-hoc team requests
→ Attend 1:1’s with managers and lead admin
→ Track and report out team training compliance
— Candidate Requirements
Disqualifiers:
□ Inability to work three days on site in Austin, is a disqualifier.
□ Not able to start quickly is a disqualifier.
□ Not able to lift at least 10 lbs (required for equipment setup) is a disqualifier.
□ Less than 18 months of relevant experience is a disqualifier.
• Best vs. Average:
→ Previous Tech company experience is preferred but not required
→ Detail-oriented approach, especially in organization
→ Onsite support for CSCP Austin site
→ Calendar management and team support experience (implies communication and collaboration skills)
→ Planning and coordination
→ Minimum of 3yrs of Admin
